Workspace has developed a centralized time and attendance solution for the DES Institution, specifically designed to handle its complex organizational structure. From automated card reader data imports and approval workflows to monthly summaries and Pantheon ERP exports, the system centralizes attendance data and delivers accurate payroll calculations and key reports for HR and finance.

Intro

The DES Institution, based in Split, employs over 200 people, more than half of whom are persons with disabilities. Due to the complexity of its organizational structure and the need for precise time tracking across different departments, DES required a modern solution to replace manual processes and ensure accurate data for payroll calculations.

Challenge

The main challenge was translating real-world attendance scenarios into a system that remained reliable and easy to use across multiple user roles, including directors, department heads, supervisors, HR and legal teams, finance, and system administrators. The platform needed to integrate with the existing Larus card reader system, correctly interpret attendance events, and support exceptions such as sick leave, late arrivals, early departures, and justified absences. In addition, end-of-month processes required structured exports compatible with Pantheon ERP, while maintaining strict access control, auditability, and consistency across all departments.

Solution

Workspace delivered a comprehensive time tracking platform built around a role-based approach and a clearly defined monthly workflow. Attendance data is centralized from the Larus card reader system, further processed through business rules and exception management, and presented to authorized users through a clean and intuitive interface. Finance and HR teams use the platform to generate monthly summaries, validate working hours, and export structured data for payroll processing in Pantheon ERP, significantly reducing manual work, improving operational efficiency, and strengthening confidence in the accuracy of final payroll calculations.

Working time record export (eight-hour list) enables download by employee and period. The export covers start time, end time, and total daily hours.

Structured navigation across key modules

The sidebar navigation organizes the application into clearly defined areas, enabling fast and consistent access to functionality.

Work hours overview by category

The system provides a clear overview of total recorded hours by work and absence categories. This view simplifies data validation and accelerates month-end reviews and payroll preparation.

Earnings type management

The module provides centralized administration of earnings types, including viewing, editing, and deleting entries.

Employee profile

The employee profile consolidates the key information required for time tracking and payroll processes. A structured layout enables fast verification and reliable data maintenance while reducing administrative errors.

Employee work time entry

The module enables recording employee work time through a standardized form. This ensures consistent records, simplifies validation, and supports reliable month-end payroll preparation and reporting.
